JOB DESCRIPTION SUMMARY

Responsible for verifying accuracy of the property transitions process (PTP) in Salesforce, as well as addition build out. This involves continuous evaluation of the regional processes and system workflow, identifying opportunities to continue improving streamlining processes to enhance overall success. Manager works closely with all support service and operational teams to train on tools and processes, along with the national transition team and Property Transitions Coordinators within the region.

JOB DESCRIPTION

Essential Responsibilities:

  • Responsible for maintaining process of gathering potential new business information from the client services team and/or operational team members through communication and Salesforce process.

  • Responsible for maintaining up-to-date and accurate processes for the region in TaskRay/Salesforce PTP as well as providing feedback to national in regard to PTP SharePoint, Greystar Portal Property Transitions page, training material and all other supporting documents. This involves working with operations and support team leaders to confirm changes and updates to the process.

  • Works alongside operations team to continually develop and deploy new transition processes within the region.

  • Reports on the overall success of the process and system, participating in ongoing improvements through review and feedback. Also, creates and deploys reporting through Salesforce on PTP.

  • Mentors and supports the Property Transitions Coordinators in the region while managing relationships and identifying opportunities for growth and structure for those team members.

  • Maintain a close working relationship with client services group to identify client needs and ensure a positive experience during property transition for clients and internal team members.  

  • Lead client transition calls as needed throughout onboarding process and facilitate the handoff to the operations team.

  • Initiates and maintains relationships with support service groups and all operational teams. Provides ongoing national account support by maintaining relationships with outside vendors and internal teams.

  • Works closely with the PTP department to manage systems and tools used through the transitioning process. Participates in development calls and manages the submission and closure of tickets related to Salesforce and Helpdesk.

  • Keeps management apprised of broader transition workflow on a regular basis through status updates and summary reporting for all active property transitions.

Other Responsibilities:

  • Completes various human resources, financial, administrative, and reporting and analysis; and performs other duties as assigned or as necessary.

Organizational Responsibilities:

  • Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).

  • Practices proper safety techniques in accordance with Company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s).

  • Identifies areas for improvement and offers suggestions to improve efficiency and productivity.

  • Keeps abreast of current changes in technology, processes, and standards within the industry and area(s) of responsibility by attending internal and external training classes, research and/or subscribing to the internet or other professional publications, or utilizing other appropriate method(s) to obtain business and professional information, and applies knowledge and practices to area(s) of responsibility.

Knowledge, Skills, Abilities:

  • Demonstrated ability to read, write, comprehend and communicate various information and performance analyses effectively with senior management, property staff and others.

  • Demonstrated proficiency in word processing, property management (Yardi or OneSite), and database management programs with advanced excel skills required to complete required reports.

  • Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages in order to complete financial records, budgets, and other fiscal reporting information.

  • Minimum 2–5 years of experience in the multi-family real estate industry or in a direct project management role is required. Prior experience with property onboarding and transitions within the multi-family industry is highly preferred, and previous experience as a community manager is also preferred. The ideal candidate demonstrates strong leadership presence, effective communication skills, accountability, collaboration, and the ability to influence and build trust across teams.

  • High school diploma or equivalent is required; college degree is preferred.

Additional Compensation:

Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

  • Corporate Positions: In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance.

  • Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
